Overview
Pandora’s Valley is seeking an experienced and highly organized Executive Assistant to support our senior management team. In this role, you will play a critical role in ensuring the smooth and efficient functioning of the executive office, and will be responsible for a wide range of administrative tasks.
Responsibilities:
- Schedule Management: Coordinate and manage the senior management team’s schedules, including scheduling appointments, meetings, and travel arrangements.
- Communication Management: Screen, prioritize, and respond to incoming emails and phone calls, and prepare and distribute correspondence on behalf of the senior management team.
- Document Management: Maintain and organize electronic and paper-based files and records, and prepare and distribute reports and presentations as needed.
- Project Management: Plan, organize, and manage projects and events, and ensure that deadlines are met and objectives are achieved.
- Meeting Coordination: Prepare and distribute agendas, minutes, and follow-up materials for internal and external meetings, and ensure that meeting spaces are adequately prepared.
- Administrative Support: Provide general administrative support, including ordering supplies, managing office equipment, and arranging for maintenance and repairs as needed.
- Stakeholder Management: Build and maintain positive relationships with internal and external stakeholders, and represent the senior management team in a professional and courteous manner.
Requirements:
- Proven experience as an executive assistant or administrative professional, with a track record of success in supporting senior management.
- Excellent organizational and time management skills, with the ability to prioritize and manage multiple tasks and projects.
- Strong communication and interpersonal skills, with the ability to interact effectively with all levels of the organization.
- Advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Bachelor’s degree in Business Administration, Office Management, or a related field (preferred).
